There are many ways you can help fund your organization. Utilize resources like the student organization travel fund, Vol starter fundraising projects, Big Orange Give annual fundraising, and the Student Organization Business office to achieve your goals.
Student Organization Business Office
The Student Organization Business Office (SOBO) is a free, banking service for student organizations. All registered student organizations at the University of Tennessee are able to utilize the services of the SOBO.

Frequently Asked Questions
The SOBO is open during the same hours as the Center for Student Engagement (CSE), M-F: 8 a.m. – 5 p.m. The SOBO often closes from noon to 1 p.m. for the lunch hour. There is a drop box for after hour drop-offs or drop-offs for when the SOBO is closed.

- Need to sign a signature card at SOBO office – President, Treasurer, and Advisor signatures are needed
Unfortunately, we are unable to deposit funds directly from online fund sharing apps like Venmo or Cash App.

- Fill out blue disbursement form completely
- Attach a receipt or invoice to every disbursement. This proof of documentation for disbursement protects your organization and this office if any questions are ever asked about your records. Checks without proper documentation for each disbursement will not be issued until the appropriate receipt or invoice is provided.
- A current signature card must be filled out completely and on file in the office before checks can be disbursed.
- The advisor and the authorized organization officer must sign disbursements requests that exceed $100.00
An Advance disbursement can be obtained also before an event. To do this, bring disbursement with the amount that the organization needs to be processed with proper signatures. Receipts or invoices will need to be turned in to the SOBO office within three business days of the event.

- Deposit should be dropped off at 174W Student Union between 8 a.m. and 3 p.m.
- Endorse checks with organization name on the back of the check. A written numbered receipt for each deposit will be issued, but the deposit will not be verified at that time. Upon verification, if any discrepancies are detected, the individual who made the deposit will be immediately contacted to determine the source of the error.
- A new receipt will be issued for the correct deposit amount.
When receiving checks from individuals or companies please have them make checks out to the organization. DO NOT make them out to the University of Tennessee. If a company or individual makes a donation to the organization and needs a receipt for tax purposed, the process will need to be handled via UT Advancement/Foundation (see “Can tax deductible donations be deposited into this account?).
Yes, there is a dropbox available for when the SOBO is closed. The drop-off is located in the Student Engagement Suite in the Student Union, Suite 174.
- Fill out a disbursement in the amount of the balance in the account minus the yearly bookkeeping charges.
- The disbursement needs to be made out to the organization (No disbursement will be processed if made out to an individual).
- Advisor of the organization must send a memo and sign the disbursement with their authorization to close the account.
- A check will be processed and can be picked up in 5 business days.
IMPORTANT: If a company or individual would like to make donation to a student organization and would like receipt for tax purposes, such donations (as well as checks made out to the University of Tennessee) CANNOT be deposited into the organization’s account with the Student Organization Business Office.
Donations for student organizations in which the donor would like a receipt for tax purposes should be given via UT Office of Advancement.
Tax deductible donations to UT registered student organizations can be given thru the UT Foundation via mail or online:
- Checks should be mailed with the following form: utfi.org/utk-pledge-form. Please make sure to include the student organization’s name in the Designation section.
- Online donations can be made via the UT Foundation/ Advancement’s website. Donor should visit giving.utk.edu On the form, select the student organization’s name under “Select an Area of Support”. If student organization name not listed, select “Other Fund Not Listed” and enter the name.

- Once donation is received (via mail or online) and is processed by UT Advancement, it is put into an Enrichment account with the UT Foundation.
- When the organization is ready to utilize/ pay expenses with their funds donationed via UTF, please contact Kerri Lovegrove, Finance Manager with Student Life Finance & Administration. Kerri’s office is located next to the Student Organization Business Office (SU 174), and she works with student organizations that utilize donor/ enrichment accounts.
Non-Profit & Tax-Exempt Status
All student organizations are required to operate as non-profit organizations that do not generate income for individuals and/or the organization itself. Student organizations, however, are not automatically registered as 501(c)3 organizations, and do not, therefore, automatically receive tax-exempt status.
Registering your organization with the Center for Student Engagement does not cover you under the University of Tennessee tax ID number (EIN) or their tax-exempt status. A student organization is NOT authorized to use UT’s EIN nor tax-exemption for purchases or donations, this includes for events such as percentage nights at location restaurants. Your organization is not tax-exempt unless you have applied for and been granted that status from the Internal Revenue Service (IRS).
If it becomes necessary for the organization to incorporate, please note, this application process must be independently undertaken by the student organization. The Center for Student Engagement staff cannot facilitate this process nor offer advisement. Additionally any undergraduate organization that incorporates must do so strictly on a nonprofit basis and in a manner that perpetuates its undergraduate status. Organizations that seek tax-exempt status are required to apply for such status through the United State Internal Revenue Service.

Obtaining Federal Tax-Exempt Status
The benefits of 501(c)(3) status include exemption from federal income tax and eligibility to receive tax-deductible charitable contributions. To qualify for these benefits most organizations must file an application with and be recognized as exempt under IRS Section 501(c)(3) by the IRS.
Organizations with Gross Receipts of Not More than $5,000 per Year
An organization that normally has gross receipts of not more than $5,000 per year (see gross receipts test below) and which is organized and operated exclusively for tax‐exempt purposes will generally be recognized as tax‐exempt under Internal Revenue Service Code (IRC) Section 501(a) without applying to the IRS for approval of IRC Section 501(c)(3) status.
Recognition by the University does NOT imply similar tax status and student organizations are NOT allowed to use the University’s.
Student Organization Travel Fund
The Student Organization Travel Fund (SOTF) is for registered student organizations that have a need to travel off-campus to regional, state, or national organizational events, competitions, training, etc. to represent the University of Tennessee. The organization’s travel should be within the scope of the organization’s mission and purpose. Travel should also compliment the mission of the university and increase the effectiveness of the organization. SOTF provides supplemental assistance to student organizations’ for overall travel costs and is funded by the Student Program and Services Fee.
Student organizations are limited to $3500 per academic year with travel costs not exceeding $500 per eligible student. Additionally, as it is intended to be a supplement to organization’s overall travel costs, the SOTF will only provide approved funding for 1-2 aspects (ex: registration, fleet management costs, etc.) of a student organization’s trip.

VOLstarter Fundraising Projects
UT’s crowdfunding platform, VOLstarter, is where registered student organizations, students, faculty, and staff can raise money for a project or initiative. Administered by the UT Foundation, VOLstarter has helped fund scholarships, student organization competition and conference expenses, equipment costs, and more through direct network support.
As contributions through VOLstarter are given via the UT Foundation and are aimed to support specific areas of the university they are eligible for income tax deductions, as allowed by law.

Big Orange Give Annual Fundraising
Held each November, Big Orange Give is the university’s day of giving via the UT Foundation. It is 24-hour online challenge for alumni, friends, parents, students, faculty, staff, and fans to show their support of Rocky Top. Registered Student Organization have an opportunity to participate in Big Orange Give to raise money for their organization.
Once Big Orange Give is completed, to spend funds, registered student organizations should contact the representative from the college/unit that your student organization is associated with.
